Technical Project Manager III Ė Administration

The mission of the Allen Institute administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, administration helps facilitate team learning and the overall mission of the institute.

This role will be part of the Central IT team that supports our diverse and dynamic IT environment for our end users. This role involves the intake, definition, resource management and execution of IT projects requested internally from IT and requested by other leaders in the organization. The individual in this role will manage a project backlog, provide status updates and ensure progression of active projects. The individual will effectively multitask and manage priorities in a fast-paced setting and be able to coordinate technical information to a non-technical audience, and also bring non-technical information to a technical audience.

Essential Functions

  • Manage the IT Project Backlog
  • Responsible for tracking and updating IT projectsí status, while prioritizing and ensuring projects are being completed timely to reduce backlog
  • Create and manage project plans; communicate agreed upon plans, updates and milestones to relevant contributors and stakeholders
  • Adhere to project budget and track progress against financial spend on the project
  • Determine availability of project resources and allocate as needed
  • Evaluate and manage intake of project requests
  • Provide regular project updates by consulting with others across departments
  • Integrate projects with strategic IT and business plans
  • Build and maintain strong working relationships with team members, project sponsors and peers; is customer service focused
  • Articulate the costs and risks of each project requested, including the opportunity cost of doing nothing
  • Take a proactive approach to dealing with ambiguity and evaluate and address project barriers as they may arise

Required Education and Experience

  • Bachelorís Degree or equivalent combination of degree and experience
  • 3 years of equivalent experience managing IT projects
  • Advanced skill level with project management platforms (Jira, MS Project, Smartsheet)
  • Advanced skill level with Microsoft 365 platform

Preferred Education and Experience

  • Masterís Degree
  • PMP, CAPM, PMI-PBA, PgMP or other Project Management certification
  • 3-5 years of experience preferred
  • Experience with Scientific Research focused IT
  • Experience working in a team setting
  • Experience working with multiple high priority tasks

Physical Demands

  • Occasional lifting up to 30 pounds
  • Fine motor movements in fingers/hands to operate computers and other office equipment
  • Stooping, bending, crouching

Position Type/Expected Hours of Work

  • Occasional evening and weekend hours required
  • This role is currently able to work both remotely and onsite in a hybrid work environment. We are a Washington State employer, and the primary work location for all Allen Institute employees is 615 Westlake Ave N.; any remote work must be performed in Washington State.
