Procurement Coordinator I – Finance

The mission of the Allen Institute administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, administration helps facilitate team learning and the overall mission of the institute.

The Allen Institute is currently recruiting for a part time Procurement Coordinator.  The position is part of the Finance team and will work with the Senior Buyer to support the Allen Institute. This position will carry out all procurement processes with speed and accuracy.

Essential Functions

  • Update Estimated Time of Arrival (ETA) and comments in Oracle open purchase order report
  • Follow-up with end users and vendors on order delays and order changes
  • Update the procurement team on work progress, new issues or concerns, and other areas of significance relating to the Procurement process
  • Review travel requests for completeness including verifying approvals
  • Issue generated travel approval codes to travelers
  • Reconcile monthly corporate travel credit card
  • Backup buyers as needed
  • Other duties as assigned

Required Education and Experience

  • High School Diploma or equivalent

Preferred Education and Experience

  • 0-2 years of procurement related work experience
  • Associates Degree
  • Ability to work in a team environment
  • Experience with an ERP such as Oracle or SAP
  • Computer savvy with Microsoft Office (Word, Excel, PowerPoint)
  • Ability to process intermediate to advanced Excel functions and formulas
  • Outstanding organizational and time management skills
  • Excellent communication skills with aptitude in problem-solving

Position Type / Expected Hours of Work

  • This role is currently able to work both remotely and onsite in a hybrid work environment. We are a Washington State employer, and the primary work location for all Allen Institute employees is 615 Westlake Ave N.; any remote work must be performed in Washington State.
