IP Specialist I – Legal

The mission of the Allen Institute administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, administration helps facilitate team learning and the overall mission of the institute.

The IP Specialist I works directly with the Allen Institute’s legal team supporting work relating to research, intellectual property, and contracts as well as compliance, and other matters as needed. Under supervision of the Associate Director of IP Portfolio and Innovation Management, the IP Specialist I performs a broad range of varying assignments. The IP Specialist I is a self-starter with the ability to manage stressful situations with diplomacy and tact, and has a combination of project ownership mentality, intellectual curiosity, and roll up your sleeves attitude.

Essential Functions

Intellectual Property and Innovation Administration

  • Administration of Intellectual Property and Innovation matters, including:
    • Maintain all Allen Institute IP and innovation databases; ensure technology records and innovation records are up to date and maintain data integrity
    • Support iEdison related reporting requirements
    • Third party material review for intellectual property agreements including tracking related technology records and agreements
    • Supports trademark portfolio management
    • Support in administration of docketable events from relevant agreements, including financial milestones and cost reimbursements

Material Transfer Agreements

  • With supervision, provide contract support for standard agreements and execute on the Allen Institute contracts process, including:
    • Review, draft, and negotiate material transfer agreements, and other agreements as needed
    • Coordinate a high-volume of incoming and outgoing contract requests, including contract and database entry processes
    • Use and maintain technology and agreement database, providing reports and analysis within Allen Institute
    • Coordinate internal contract approvals and signature process
    • Communicate at a variety of levels with researchers and legal representatives at other universities, nonprofit, and commercial organizations, including serving as the first point of contact for general inquiries.
  • Performs screening on MTAs on applicable entities and individuals against various watch lists

Overall

  • Able to perform multiple short-term and long-term projects
  • Work with attorneys to help support contract needs of internal business clients and assist with projects in other areas of the legal department as needed
  • Helps define operational goals and metrics and potential dashboards for the Intellectual Property and Innovation Team
  • Support maintenance of form libraries and work with other members of the legal team to build out and maintain internal policy and process documentation
  • Provide consistent, efficient, and excellent service and work product to clients; seeks and incorporates feedback from multiple sources; strives to add value beyond the immediate requests from clients
  • Understand implications of own work to long-range legal department and Allen Institute mission and goals; demonstrates holistic understanding of Allen Institute to advance its mission, vision and values
  • Consistently works collaboratively and foster collaboration and respect with team members and peers across the Allen Institute
  • Work on special projects, assignments, and work groups
  • Recommend and implement strategies for maximizing use of software tools in department operations
  • Perform other related duties

Required Education and Experience

  • College degree or equivalent required

Preferred Education and Experience

  • 4-year degree and at least 2 years of relevant experience or equivalent combination of experience and education preferred
  • Experience with Office 365, SharePoint, Oracle, DocuSign, and Inteum/Minuet
  • Intellectual Property Operations
  • In-house experience, nonprofit experience, and/or biotech experience helpful
  • Highly detail-oriented, produces consistently complete and accurate work
  • Demonstrated ability to quickly master new software; the legal team and the Allen Institute currently uses Office 365 products, Oracle, Convercent, and Inteum/Minuet

Physical Demands

  • Fine motor movements in fingers/hands to operate computers and other office equipment

Position Type/Expected Hours of Work

  • This role is currently able to work both remotely and onsite in a hybrid work environment. We are a Washington State employer, and the primary work location for all Allen Institute employees is 615 Westlake Ave N.; any remote work must be performed in Washington State.

Annualized Salary Range

  • $73,450 - $89,950*

* Final salary depends on the required education for the role, experience, level of skills relevant to the role, and work location, where applicable.
