Facilities and Operations Technician I – Administration

The mission of the Allen Institute Administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, Administration helps facilitate team learning and the overall mission of the Institute.

We seek an entry-level technician to become a core contributor to our Building Services Team. The Facilities and Operations Technician I position is responsible for day-to-day operations and work order resolution for multiple building and floors headquartered in South Lake Union. The facilities are a combination of labs and office spaces with approximately 1000 occupants. The Building Services Team strategically supports the organizational needs while providing a high level of customer service and satisfaction for the end-users.

Essential Functions

Work Order Management

  • Respond to assigned work orders promptly and professionally
  • Provide estimated lead times, keep requestors informed of progress, complete the work order, and follow up to ensure satisfaction

Issue Resolution Support

  • Assist the Building Services Manager by providing feedback on non-routine issues or requests to facilitate resolution

Transport and Equipment Handling

  • Operate Institute-owned vehicles to transport employees and equipment
  • Coordinate with research staff for scheduled, specialized pick-ups as needed
  • Ensure timely delivery of supplies and equipment to labs

Furniture Moving and Setup

  • Transport, assemble, and arrange furniture items such as chairs, tables, and desks
  • Use proper lifting techniques and equipment (e.g., dollies, hand trucks) to safely handle heavy items
  • Dismantle and reassemble furniture as needed, adhering to safety guidelines and manufacturers' instructions
  • Organize and manage the storage of furniture and event materials, optimizing storage space

Meeting and Event Setup

  • Work with event organizers to understand layout and setup needs, ensuring specifications are met
  • Set up audio-visual equipment, staging, podiums, signage, and decorations as required
  • Arrange furniture to meet specific setup styles (e.g., classroom, theater, or banquet)
  • Conduct final walk-throughs before events, making adjustments as necessary

Safety and Maintenance

  • Follow all safety guidelines for handling heavy objects and setting up equipment to prevent injuries and property damage
  • Regularly inspect equipment and furniture to ensure they are in safe, functional condition; report any damaged or faulty items
  • Maintain a clean and organized workspace, especially in frequently used storage and staging areas

Customer Service and Communication

  • Interact professionally with clients, event organizers, and team members, responding promptly to requests and setup changes
  • Address issues or last-minute adjustments calmly and efficiently
  • Offer support to clients, including assistance with AV setup and guidance to event spaces

Administrative and Record Keeping

  • Keep accurate records of event setups and breakdowns, tracking inventory and equipment usage
  • Update software tools (e.g., Service Now) to log setups, damages, and inventory movements
  • Coordinate with facilities or events teams to schedule setups and teardowns, minimizing disruption

Other Duties as Assigned

  • Assist with additional facilities-related tasks, including minor repairs, cleaning, and space organization
  • Provide support during emergencies, such as evacuations or urgent event needs

Required Education and Experience

  • High school diploma or equivalent
  • Must have a valid WA State Driver License, with driving history free from infractions
  • Demonstrated experience using standard hand tools and power tools

Preferred Education and Experience

  • 1-3 years’ experience in commercial, laboratory or industrial facility with increasing responsibility in operations and maintenance
  • Proficiency with Microsoft Word, Outlook, Excel, and Work Order Management System
  • Excellent communication, organizational and record-keeping skills
  • Willing to multitask, learn and train on new techniques
  • Proficiency with Microsoft Word, Outlook, Excel, and Service Now Work Order Management System

Work Environment

  • Office spaces
  • May enter laboratory environment, including potential exposure to lasers, biohazards
  • Warehouse spaces
  • Data Center
  • Occasional travel to offsite warehouse or other locations

Physical Demands

  • Ability to work at heights and from ladders
  • Regularly lift and move up to 30 pounds
  • Ability to regularly walk, reach with hands and arms, stoop, kneel, crouch or crawl, climb ladders

Position Type/Expected Hours of Work

  • Possibility of rotating evening and weekend on-call coverage
  • This role is currently working onsite and is expected to work onsite for the majority of working hours. The primary work location for this role is 615 Westlake Ave N., with the flexibility to work remotely on a limited basis.

Annualized Salary Range

$44,900 - $62,850 *

* Final salary depends on the required education for the role, experience, level of skills relevant to the role, and work location, where applicable.
