Payroll Coordinator – Finance

The mission of the Allen Institute administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, administration helps facilitate team learning and the overall mission of the institute.

The Allen Institute is currently recruiting for a Payroll Coordinator. The Payroll Coordinator is an entry level payroll position which requires strong numbers orientation, problem-solving skills, research skills, computer skills and attention to detail. The Payroll Coordinator will assist in all tasks related to payroll processing such as collecting employees’ timesheets and entering payroll data.

Essential Functions

  • Generate and validate timecards (FTE, leave, exemptions, new hires & terminations)
  • Maintain and update ADP with:
    • Manager changes
    • New hires and terminations
    • Job title changes
    • Deductions
    • Benefit Changes
    • Other
  • Track and monitor employee on-call, receivables, healthcare reimbursements, relocation, and others
  • Post payroll reports
  • Prepare the bi-weekly 401k funding package
  • Maintain employee confidence and protect payroll operations by keeping information confidential in accordance with company policies and procedures
  • Responsible for data collection and entry with very strong attention to detail
  • Administrative support to the payroll team

Required Education and Experience

  • High School Diploma or equivalent

Preferred Education and Experience

  • 1 year payroll experience
  • Excellent verbal and written skills
  • Accurate data entry
  • Well organized and detail oriented
  • High level of discretion to maintain confidentiality
  • Strong computer aptitude with high proficiency in MS Office (Outlook, Word, Excel)
  • Advanced skill level with Excel formulas including pivot tables and vLOOKUP
  • Experience with Oracle and ADP

Position Type/Expected Hours of Work

  • This role is currently able to work both remotely and onsite in a hybrid work environment. We are a Washington State employer, and the primary work location for all Allen Institute employees is 615 Westlake Ave N.; any remote work must be performed in Washington State.
