The mission of the Allen Institute administration team is to provide support and structure to the scientific divisions. Coinciding with the team science approach, administration helps facilitate team learning and the overall mission of the institute.

The Allen Institute is looking for a smart, detail-oriented, and professional Benefits and Wellness Partner to join our Human Resources Total Rewards team and fully support the employee experience. The Allen Institute is fiercely committed to solving some of the biggest mysteries of bioscience, researching the unknown of human biology, in the brain, the human cell and the immune system. In this role, you will ensure the Allen Instituteís compensation, benefits and wellness practices follow all regulations and are clear to our employees. You will track the data and metrics supporting our approach and be a key member of our HR Team.

Essential Functions

  • Develop strong relationships with our managers and employees by providing accurate and timely information regarding benefits and wellness programs
  • Be the subject matter expert regarding benefits, Leave of Absence (LOA) and 401(k) questions
  • Document our benefits processes and apply a mindset of continuous improvement towards those processes
  • Ensure data integrity in our benefit systems through accurate administrative processes
  • Participate in implementing designated benefits programs/projects such as annual survey benchmarking, open enrollment, vendor RFPs, etc.
  • Administer employee benefits programs such as retirement plans, medical, dental, vision, life insurance, temporary disability, wellness, voluntary benefits, discounts, and Employee Assistance Program
  • Manage day-to-day operations, including vendor relationships, contract compliance, and escalation of issues
  • Use data to monitor trends and recommend educational initiatives, program plan changes, vendor changes and cost control initiatives
  • Engage cross-functionally with Finance/Payroll, Employee Health and Safety, Facilities and other departments in the administration and oversight of benefits programs, budget, and expenses
  • Develop a multi-channel strategy to effectively communicate and implement benefits programs
  • Maintain knowledge of and analyze government regulations, program trends, and prevailing practices and market competitiveness among similar organizations
  • Ensure compliance of benefit, and retirement program administration with federal, state, and local rules and regulations; and associated regulatory reporting requirements
  • In collaboration with HR Business Partners, manage employee accommodation process

Benefit Administration

  • Coordinate daily health, welfare, and 401k benefits processing
  • Monitor and audit employee information ensuring all benefits data in HR and vendor systems is accurate
  • Reconcile benefit invoices against employee data and submit for payment in a timely manner
  • Assist in the management of the benefits plan renewal process and serve as primary contact for plan vendors and third-party administrators
  • Analyze participation and utilization for all benefits on a monthly, quarterly, and annual basis
  • Analyze benefits experience for cost-control and risk-assessment factors

Leave Management

  • Own the leave management process, partnering with manager, payroll, employees and third parties to ensure time is tracked and processed accurately
  • Partner with managers, HR Business Partners, and Employee Health and Safety (EHS) on workerís compensation cases and accommodation requests

Required Education and Experience

  • Bachelorís Degree or equivalent combination of degree and experience
  • 5 + years of progressive professional/exempt benefits experience
  • 3 + yearsí functionality implementation, development, management, and reporting in a Human Resources Information System (HRIS)
  • 3 + years of process documentation and process improvement implementation
  • Advanced MS Office and Excel skills to include complex formulas, tables, charts, lookups, data management, and modeling
  • Proficiency in Word, SharePoint, Visio, and PowerPoint
  • Demonstrated working knowledge of applicable local, regional, and federal rules and regulations including ERISA, HIPAA, EEOC, FMLA, ADA, FLSA, WAC/RCW

Preferred Education and Experience

  • Bachelorís Degree in Business, HR, Marketing, Communications, or related field
  • Certified Benefits Professional
  • Professional in Human Resources (PHR) and/or Society of Human Resources Management Certified Professional (SHRM-CP)
  • Experience with Oracle HCM, Clear Company ATS, and ADP Payroll
  • Training or experience in TQM, Six Sigma or Lean
  • Ability to work independently or as part of a team(s) in a matrixed environment
  • Demonstrate accurate and clear communication skills
  • Excellent consultation and client service skills

Physical Demands

  • Fine motor movements in fingers/hands to operate computers and other office equipment

Position Type/Expected Hours of Work

  • This role is currently able to work both remotely and onsite in a hybrid work environment. We are a Washington State employer, and the primary work location for all Allen Institute employees is 615 Westlake Ave N.; any remote work must be performed in Washington State.
